Accounting Periods

Accounting Periods is the period lock in Qualis ERP: a small or mid-sized manufacturer declares its accounting periods, closes them once the books or the VAT return are filed, and Qualis then refuses any posting dated inside a closed period. It prevents the classic month-end problem where someone back-dates an invoice or reverses a payment in a month that was already declared, and the filed figures no longer match the system. A period has a label such as January 2026 or FY2026 Q1, a start date, an end date and a status, open or closed. Qualis records when it was closed and by whom, and a note explains why. While a period is closed, its dates cannot be edited and it cannot be moved to the trash, because either would quietly release its documents from the lock. Reopening is allowed, but only as a deliberate status change by someone with the update permission, and every change is kept in the version history. The lock reads the date that decides where a document lands: the issue date for invoices and credit notes, the payment date for customer payments. When no period is declared, every date counts as open and nothing is blocked. The finance lead or accountant closes a month after the VAT return or the monthly close. A sales administrator who then tries to correct an old invoice gets an error naming the closed period and suggesting a credit note in the current period instead. Accounting Periods is a core module present in every organization and cannot be uninstalled. It protects the documents of Invoicing and relies on User Management for the permission to close and reopen periods.
