Manufacturing ERP for SMEs: what it must cover and how to choose

A manufacturing ERP is the software in which a company that makes things records its sales, purchasing, stock, manufacturing orders, quality and maintenance, in one database that every department shares. For a small manufacturer, it must at least handle bills of materials, manufacturing orders and lot traceability. Qualis ERP is an online manufacturing ERP for small companies that make to stock or to order, with a free-for-life plan for stock and public per-seat prices.

ERP, MRP, MES and CMMS: the definitions

These four acronyms cover different scopes, and some software combines them. The French term GPAO (gestion de production assistée par ordinateur) corresponds to production management software, often called MRP software in English.

SoftwareWhat it managesTypical records
ERP (enterprise resource planning)The whole company in one database: sales, purchasing, stock, invoicing, often accounting tooQuotation, sales order, purchase order, invoice
Production management (GPAO in French)Preparing and releasing productionBill of materials, routing, work center, manufacturing order (MO), net requirements calculation
MES (manufacturing execution system)Execution on the shop floor, operation by operationProduction reporting, time spent, scrap
CMMS (computerized maintenance management system)Upkeep and repair of equipmentMaintenance request, work order, preventive plan, spare parts

The French Wikipedia article describes a CMMS as a management method backed by software "intended for a company's maintenance departments", and notes that "the value of ERPs compared with dedicated CMMS software is debated" (our translation). The maintenance module of an ERP shares the spare parts stock, purchasing and costs with production; a dedicated CMMS goes further on the technical side.

Qualis ERP covers business management (sales, purchasing, stock, invoicing), production management without a net requirements calculation, the reporting side of an MES through the "Shop Floor" screen, and a CMMS. Replenishment works by reorder point on projected stock, and every MO shows its missing components.

Who it is for

A manufacturing ERP serves small companies that turn material into parts or finished products, to stock, to order, or both.

A few profiles:

  • Machining subcontractors: routings with setup and run times, calibration of measuring instruments tracked in maintenance, with a certificate required to close the job.
  • Automotive suppliers: lot and serial traceability, non-conformances, CAPA, incoming inspection, supplier certifications (IATF 16949, ISO 9001) with an expiry date.
  • Plastics processing: with the "Track meters from production" option, the hour and cycle meters of a press, and of its tooling, advance with each completed work order, which feeds meter-based preventive maintenance.
  • Electrical assembly: multi-level bills of materials and a serial number for each unit produced, traceable in the production genealogy.

When the spreadsheet is no longer enough

An Excel worksheet holds 1,048,576 rows and 16,384 columns, according to Microsoft's specifications. With Microsoft 365 and a file on OneDrive or SharePoint Online, several people edit the same workbook at the same time, and Show Changes lists who changed what and when, over the last 365 days.

Formulas stay fragile. Powell, Baker and Lawson audited 50 spreadsheets used in business and found errors in 0.9% to 1.8% of the cells containing a formula, depending on the definition of error used (Errors in Operational Spreadsheets, 2009). At the same rate, a file with 2,000 formulas would hold 18 to 36 wrong cells.

The spreadsheet shows its limits when:

  • the stock in the file no longer matches the stock in the storeroom, because material issued to MOs is entered after the fact;
  • a customer asks which material lots went into their delivery, and the answer has to be pieced together by hand;
  • an MO is released while a component is missing;
  • two versions of the same bill of materials live in two copies of the file.

What a manufacturing ERP covers: the Qualis ERP map

Qualis ERP groups its modules into apps. Each module has its own page on the marketplace, and you install the ones you need.

Make

Modules: Manufacturing Orders, BOM & Routing, Work Centers and Manufacturing Settings.

A bill of materials and its routing live in one document: each operation carries its work center, its times and the components it consumes. A subassembly has its own bill of materials, and the "BOM Report" displays the multi-level tree. Changes can go through engineering change orders that require approval.

On release, the MO freezes the bill of materials and the routing, checks component availability and creates one work order per operation. By default, a missing component blocks the release. The "Material Plan" tab shows, for each component, the quantities required, issued, reserved and available; when something is short, "Buy" creates a draft purchase order and "Make" a planned MO. The "Shop Floor" screen gives each work center its work queue: the operator starts the job, clocks time, and reports quantities and scrap with a reason.

Scheduling runs forward or backward, at infinite capacity by default; a setting caps each day, approximately, by the capacity the work center has already committed. Qualis ERP does not print MOs or travelers; the MO is viewed on screen.

Sell

Modules: Quotations, Sales Orders, Invoicing, Clients Management, Customer pricing, CRM pipeline, Customer cases, Returns (RMA) and Currencies.

The invoice takes the ordered or delivered quantities from a sales order, and never bills more than the order. Invoicing also handles down payments, credit notes, payment reminders and the aged receivables report. A customer case can open a non-conformance, and a return shows which customers received a given lot. Qualis ERP has no accounting module: no general ledger, no VAT return.

Buy

Modules: Purchase Orders, Suppliers Management and PO Email Notifications.

The supplier record keeps its certifications with their number and expiry date, along with its default payment terms, copied onto each new purchase order. Qualis ERP does not manage supplier invoices or their payment.

Stock

Modules: Warehouses, Storage Locations, Inventory Levels, Stock Moves, Inventory Adjustments, Cycle Counts, Scrap Orders and Replenishment Rules.

A replenishment rule applies to one item in one location, with the Min/Max, Fixed Qty or Make to Order strategy. It compares the reorder point with projected stock: on hand, minus reserved, plus incoming, minus expected demand. The engine creates draft purchase orders, transfers and planned MOs only if you turn on automatic creation; otherwise, it produces a report.

Quality

Modules: Non-Conformance Reports, CAPA, Inspections and Document Management.

With the Inspections module, every purchase receipt of a stock-tracked item goes to the warehouse's quality control location and creates a "Receiving" inspection. The decision moves the stock: "Accept" puts it away, "Reject" places it in quarantine with its lot, "Scrap" sends it to scrap. A manufacturing setting extends this check to finished products. An automatic inspection that fails opens a draft non-conformance.

The non-conformance report records severity, source, lot, affected quantity, containment actions and disposition. The "Create CAPA" button opens a prefilled CAPA already linked to the report. The CAPA offers 5 Whys analysis, an Ishikawa diagram or Pareto analysis, an action plan with owners and due dates, then the effectiveness check. A non-conformance disposition is recorded without moving stock, and each report covers a single product.

Products & Data

Modules: Products Management, Lots / Serial Numbers, Units of Measure, Packages and Package Types.

A lot that is quarantined or expired can be neither shipped nor consumed in production. When the finished products of an MO are received, Qualis ERP records the genealogy: which component lots went into which finished lot. The "Genealogy Trace" screen walks it backward and forward, through subassemblies, for products tracked by lot or serial number.

Maintain

Module: Maintenance, a CMMS built into the ERP.

It manages equipment as a hierarchy, maintenance requests, maintenance orders with enforced statuses, and preventive plans based on the calendar, a meter, or whichever comes first. Spare parts are issued from real stock, labor and parts roll up into the cost of the job, and the "Maintenance Analytics" dashboard calculates MTTR, MTBF and availability. From a manufacturing work order, "Report a problem" opens a request with the machine already filled in. Qualis ERP does not calculate OEE.

People and Admin

Modules: Employees, then in Admin User Management, Teams, Approval Workflows, Audit Logs and Tasks.

An approval workflow can hold the release of an MO or a status change on a non-conformance until it is approved. Quality records keep their version history and an audit log.

How to choose a manufacturing ERP: 8 criteria

  1. Make to order and make to stock. Ask to see a sales order that creates its MO without re-entry, then a finished-product minimum stock level that triggers an MO. Qualis ERP does both; for stock, the replenishment rule creates the planned MO if you turn on automatic creation.
  2. Multi-level bills of materials and routings. During the demo, have one of your own three-level products entered, with a phantom subassembly and a subcontracted operation. Qualis ERP handles phantoms, by-products, subcontracted operations and multi-level where-used.
  3. Lot and serial traceability. Start from a finished product's serial number and find the material lot, then go the other way. Time the search.
  4. Built-in quality. Check that a lot rejected at receipt is blocked for production without re-entry, and that a non-conformance leads to a linked corrective action.
  5. Maintenance. A machine meter that advances with production removes the manual readings from meter-based preventive maintenance. Odoo includes a Maintenance module even in its Community edition, according to its editions page, checked on October 22, 2026.
  6. Public price and shop-floor accounts. Ask for office users and operators to be priced separately. Odoo offers a visitor from Morocco a light user ("Utilisateur Léger" on the French page) at US$2.90 that covers the Shop Floor app, to be purchased through an Odoo advisor (pricing page checked on October 22, 2026); Qualis ERP sells an operator seat at €9 per month.
  7. Language and hosting. Test the interface, customer documents and support in your language, and ask where the database is. Qualis ERP's interface is in English and French, and its customer documents print in French or English; its database is in the United Kingdom, its files and email at AWS in Paris.
  8. Onboarding and data migration. Ask who does the setup and how many training days are included. On pages checked on October 22, 2026, Clipper's entry offer includes "8 days of training", and INOVTEAM, an Odoo partner in Morocco, quotes 3 to 5 months and 100,000 to 420,000 MAD, including audit, setup and training, for a small manufacturer with 5 to 20 users (page dated November 25, 2025). Qualis ERP charges no setup fee and imports your data by CSV; your team does the setup, with the configuration wizard and support in French or English.

Frequently asked questions

What is the difference between an ERP and production management software?

Production management software (MRP, or GPAO in French) handles production: bills of materials, routings, work centers, MOs and requirements calculation. An ERP covers the whole company, including sales, purchasing, stock and invoicing. A manufacturing ERP includes production management in the same database.

Does Qualis ERP calculate net requirements (MRP)?

No. It replenishes by reorder point on projected stock and shows the missing components of each MO, with a purchase or an MO created in one click.

Does Qualis ERP replace accounting software?

No. It issues customer invoices and tracks customer payments and aged receivables, but keeps no general ledger and files no VAT return. Your accounting software stays in place.

Is Qualis ERP IATF 16949 compliant?

Qualis ERP claims no IATF compliance. It provides building blocks for an IATF 16949:2016 approach: lot and serial traceability, non-conformances, CAPA, incoming inspection, instrument calibration and supplier certification tracking. It has no control plan, process FMEA, PPAP, MSA or SPC.

Does Qualis ERP suit a small manufacturer in Morocco?

The interface is available in French, the invoice prints the seller's and the customer's ICE, and the configuration wizard offers the ICE, IF, RC and professional tax fields for a Moroccan company; the IF and professional tax are stored but not printed on the invoice. The subscription is paid in euros, and Qualis ERP is not connected to the DGI for e-invoicing.
