Approval Workflows

Qualis ERP's Approval Workflows module lets small and mid-sized manufacturers decide who must sign off a purchase, a scrap decision or the closure of a non-conformance, deviations included, and then enforces it. It replaces the approval asked for in a corridor or by email, where nobody can later prove who signed off what, or whether anyone did. A workflow applies to one document type: purchase orders, sales orders, quotations, invoices, manufacturing orders, scrap orders, inventory adjustments, non-conformance reports, CAPAs, engineering change orders or maintenance orders. It starts as a draft and runs once you make it active. Trigger conditions decide which documents need it, for example a total above a threshold, compared in your base currency. Steps run in order, each with approver users and teams and a completion policy: all, any one, a majority or an exact number. A step can time out and then escalate, approve, reject, skip or notify. When a document reaches a gated status, Qualis opens an approval request, holds the document until the decision, and records every approval, rejection, comment and reassignment on a timeline. Nobody can approve a request they raised. Templates give you a single-step, a two-level manager or a finance threshold workflow to start from. Approvers work from My Approvals, which lists pending requests and their response times, and decide in one click, with a reason required to reject. A manager going on leave creates a delegation with start and end dates, and it expires on its own. Approval Workflows is a core module that relies on User Management, Teams and Notifications, which tells requesters and approvers what needs their attention. Workflows can also be imported from CSV.
