Contacts

For small and mid-sized manufacturers, Contacts is the Qualis ERP directory of the people behind their clients and suppliers: the buyer who sends purchase orders, the quality engineer who signs off a first article, the planner who chases a late delivery. Without it, those names live in personal inboxes and leave the company with the salesperson who knew them. Each contact has a code, a job title, a department, a phone, a mobile and an email, a preferred language, an owner and coloured tags. One person can be linked to several companies with a role such as decision maker, technical buyer, quality or logistics, and one link per company is marked primary. When you create a contact, Qualis looks for duplicates by email, then by phone, then by last name and company domain, and tells you which rule matched. A status says whether the person is active, has left the company or must not be contacted. Privacy is handled as actions on the screen. The consent register keeps each purpose, lawful basis, channel and proof. You can export a person's data, record an opt-out, or erase the person while their opposition stays on file. A weekly sweep flags prospects with no meaningful contact for three years, a window each organization can set between one and ten years. Sales reps and buyers open Contacts every day to call or email someone straight from the record, and contacts import from CSV. Contacts links people to Clients Management and Suppliers Management. The CRM pipeline names contacts on leads and opportunities, Quotations addresses a quotation to one, and Activities logs calls and visits against them, which keeps the retention clock current.
