Quotations

Qualis ERP's Quotations module lets small and mid-sized manufacturers send customers a real quotation, a numbered and printable document they can revise, have approved and follow until it is won, declined or expired. It replaces the offer typed in a word processor, where the price, the margin behind it and the delivery date are three separate guesses. A quotation moves through draft, pending approval, approved, sent, accepted, declined, expired, revised and cancelled. Revising creates a new revision linked to the previous one, so the lineage stays readable. Each line records its own outcome, won, lost or no bid, so a partly won offer is visible. The line price comes from the customer's price list, and the cost is a frozen snapshot taken from the bill of materials roll-up, the standard cost or the cost price, so the quoted margin can still be explained later. A promise date is computed from available-to-promise stock, open sales orders and open purchase orders, and is only replaced when it can no longer be met. A daily sweep expires sent quotations past their validity date, after an expiring-soon reminder. The print carries the legal mentions of a French devis, such as validity, place of execution, quote fee and acceptance wording, and drawings can be attached with their revision. Sales engineers and estimators build quotations in a spreadsheet-style line editor, and a sales manager approves the ones that need sign-off. Margins are visible only to users allowed to see costs. A quotation never reserves stock.
