Maintenance

Set up the Maintenance workspace: install the module and choose the prefixes that number your maintenance assets, orders and requests.

Maintenance is where your organization keeps its equipment running: the assets you look after, the work you plan on them, and the requests that come in from the floor. This first release adds the Maintenance workspace to your sidebar and lets you set the numbering prefixes that every maintenance document will use. Asset, work order and request management build on top of this foundation in later releases.

Before you start

  • Maintenance is a marketplace module. An administrator of your organization installs it from the Marketplace; until then it does not appear in the sidebar, the app menu or the command palette.
  • Editing the settings is reserved for platform staff and administrators of your organization. Anyone can open the page and read it, but if you are not an administrator the Save settings button stays greyed out, with a tooltip explaining why.

Install the module

  1. Open the Marketplace from the sidebar.
  2. Find Maintenance under the Maintenance category and choose Install.
  3. Once installed, Maintenance appears in the left sidebar under its own Maintenance group.

Set your document numbering

Maintenance settings live on one page, grouped into a Document numbering area. Each prefix is the short code at the front of the reference numbers Maintenance generates for you.

  1. In the sidebar, open Maintenance, then go to its Settings page.
  2. Set the Asset prefix. Maintenance appends a sequential number after it, so a prefix of AST- produces AST-00001, AST-00002, and so on. The default is AST-.
  3. Set the Order prefix (default MNT-) used for maintenance orders, and the Request prefix (default MR-) used for maintenance requests.
  4. Click Save settings. A green confirmation appears; if a save fails, your entries are kept on screen and a red message explains what went wrong.

A prefix can be 1 to 12 letters, digits or dashes, with no spaces or other symbols. If you type something it does not accept, the field turns red and tells you what to fix before you can save.

Good to know

  • Prefix: the short code at the start of a reference number. In AST-00001, the prefix is AST-.
  • Your settings are per organization: each organization keeps its own prefixes, and one organization never sees another's.
